Dubai -JOB DESCRIPTION Job Details: Position Title: Leasing Administrator Reports To: Senior Asset Manager Department: Regional & Community Function: Asset Management Prepared/Revised on: 13 May 2019 What you will do: The job holder is responsible for ensuring the effective leasing of retail space by keeping all documentation (such as Lease Agreements, Deeds of Variation, Deeds of Surrender) up to date and logged in the system in a timely manner. This requires close coordination with retailers and all internal departments (including Legal, Finance, Leasing). What you will be responsible for: Maintain a healthy relation with retail partners and coordinate any leasing related matters on regular basis Preparation of necessary documentation to allow administration and execution of lease agreements, ensuring co-ordination with internal departments Collect legal documents from clients ensure the legality of the clients company and to use these documents in case of any litigation Ensure accurate filing of all information and agreement, so as to enable the company to refer to it in its relationship management with respect to rent collection/ renewal / extension/ transfer as well as to serve as a point of reference in case of any litigation Follow up with retailers and internal stakeholders to ensure documentation is concluded and updated in timely manner Encourage tenants to ensure that they are in compliance with all contractual obligation of documents, insurance, financial submissions, etc. Prepare reports for occupancy, variations, upcoming renewal, potential exits Follow company policies and procedures for effective leasing strategy and maintain communication with all retail tenants Highlight any concerned areas to the management to take proactive action and avoid revenue loss Update internal systems on regular basis Preparation of weekly leasing status report and others, as and when required Performs other tasks as expected by the management team What you will need to succeed: High School and Degree qualification preferred 4-5 years of experience in handling administrative Excel proficiency Knowledge of Yardi system preferred Strong communication & interpersonal skills Must be organized, structured, have attention to detail & faced paced Job Segment: Law, Compliance, Relationship Manager, Legal, Customer Service
