Purpose Purpose of the Job: The Project Contract Administrator is responsible for the Contract Administration during contract execution phase up to the final acceptance of the work and final account related to the ExpoLink Dubai - 2020 Project. Preparation and organise records namely, correspondences, emails, letters, documents etc. into a format that can be used to build up notice to claims or defend claims from Partner, Customer and Subcontractors. All necessary contract administration activities to help successfully deliver the project on time and within budget. Measurement Deliverables on time Timely processing of documents / records to produce support the production of project variation requests / orders, Extension of Time (EoT), and claim files preparation. Environmental Health & Safety compliance Key Performance Indicators to be defined Trust, Team, Action Accountabilities People : None Relationship with project team members Responsibilities Scope of the role and responsibilities: Preparation and management of all necessary contract administration activities for the Rolling Stock function within the project through warranty up to final account approval or as deemed necessary Maintain and capture all Correspondence, MOM’s etc. and prepare the necessary reports and KPI’s Preparation and organise records, correspondences, emails, letters, documents etc. into a format that can be used to build up notice to claims or defend claims from Partner, Customer and Subcontractors Monitor and work with the Project Contract Manager, Quantity Surveyor / Project Infrastructure Manager to ensure traceability of all records Support and prepare change order notifications, reports as required by the Contract Manager Provide administrative support for insurance claims, disputes or arbitrations if required Support the preparation of Contract Summary, flowcharts as requested by the Project Contract Manager Maintain safely and file documents, letters, and other forms of communication in accordance with Alstom / Project Document retention policy Candidate Requirements Educational Requirements A suitable high level qualification in Business Commercial / Engineering / Construction or similar Desired Knowledge / Experience The Candidate should be already working or have been working either as a Contract Administrator or as Contract Manager. Must have worked for either a large civil works / in construction contractors /in Aircraft systems industry, ideally on Design & Build type Industrial projects. 2-3 years in a similar Contract Administrative role with a large construction or Transport Company. (desirable in the Railway business) experience working in a large multi-national company Good communication in English as well as native language knowledge and skill in networking within a large organisation knowledge of project IT systems Behavioural Skills / Competencies Strong personality, having a persuasive attitude capable and commensurate to having experienced working with a large civil work contractor for a 8 years Analytical skills and system minded demonstrating best practice. Rigorous for reporting and trouble shooting Provides early warnings as soon as unforeseen problems arise, to ensure timely corrective action can be taken Strong analysis capability for identifying system issues Identifies critical tasks & issues and takes action to ensure execution, delivery and follow-up Good communication skills for interfacing with our European and native colleagues and Civil Contractors. In carrying out this role the jobholder will liaise and negotiate with the medical providers to ensure the validity of the treatment as per the insurance policy terms and conditions and to ensure that prices are in line with those agreed for Network providers or remain “reasonable and customary” for non Network providers. The role is responsible for effective communication with the Insured Members in order to explain the covers and answer any specific question related to a given claim. Main Accountability: Handle relations with the Medical Providers which includes negotiating all the discounts, studying all the price lists, handling reconciliations and visit the Medical Providers on a regular basis; Analyse prior-approval requests, negotiate the cases with the medial providers, approve the cases when agreement is reached and enter the claim into AXA Insurance E.C. IT system; Supervise In-patient claims (this supervision includes visits to the patients during their hospitalization); Advise on Medical Basics and Practice; Assist Medical Claims Administrators in processing claims; Validate all medical claims in AXA Insurance E.C.’ s IT system; Communicate with Insured Members on their claims and on any request coming from an Insured Member Drive training and information seminars on AXA Insurance E.C. medical products directed toward clients, prospects and internal Sales forces. Basic understanding of competitors and their products. Completed Tertiary education in Medical degree (Medicine). At least 3 years experience in related field.
