About the Job: An opportunity has arisen for a Guest Services Executive to join Executive Club in Jumeirah Zabeel Saray. The main duties and responsibilities of this role: Give a warm welcome to guests on arrival to Executive Club and register them as well as issuing room keys in the appropriate welcome booklet.Take payment from guests on departure and close their bills correctly.Be efficient in assisting guests throughout their stay with any requirements.Ensures that the Lounge is manned, operationally prepared and stocked at all times.To serve food and beverage to guests in the Executive Club according to the established performance standards.To use discretion and tact when dealing with guest enquiries, problems and complaints in an efficient and professional manner without detriment to the hotel and/ or its reputation. into the Opera system making sure that all required information has been provided. File all Registration Cards and dockets for in-house guests in appropriate buckets and perform regular bucket-checks.Neatly file registration cards of departed guests by date and in alphabetical order.Scan the passport of every guest on arrival and save the data correctly for the CID Report.Carry out a Routing Instruction Report regularly and ensure that all required back-up is attached at the Registration Cards neatly. Maintain accurate and up-to-date temperature records for all fridge units within the bar whilst on duty.Complete all cashiering paperwork according to Jumeirah International cashiering procedures.Attend briefing, review the notice board and briefing sheets on a daily basis to be well informed of hotel events, city information, sold-out items, daily specials and any other information that may be relevant to the job.Complete cleaning, opening & closing tasks as detailed on the checklists and as instructed by senior colleagues.Assist in recording inventories/ stock-takes as required. He/She must be completely familiar with the operational environment and must follow the detailed instructions given to him/her by the manager at all times when working.Maintaining and handling of cash float.Prepare registration cards for the next day’s arrivals.Conduct check-in and check-outs with accordance to procedure.Escort the guest directly to the room/suite after proceeding with the check-in formalities.Ensure the luggage is sent up promptly to the room.Ensure the Special of Lounge is input into each reservation coming in for the Club Lounge.Check departures for the day and the following day, update departure times.To promptly and accurately file the updated registration cards of arrived guests, once checked by the Reception.Comply with Guest Services Standard Operating Procedures. Responsible for service of the entire continental breakfast, afternoon tea and Pre-Dinner Canapés service in the lounge.Ensure tidiness of lounge, kitchen and pantry; maintain fresh stacks in the refrigerator.Maintain availability of mise-en-place.Check guest room number during Pre-Dinner Canapés according to in-house –EC report.Prepare the tea and coffee service after the happy hour.Close the bar set up and secures all Food & Beverage equipment at the end of the day.Must exercise correct service techniques at all times.Clean up any accident that might have occurred immediately.Check on daily Food & Beverage requirements for store requisition.Print out reports for club executive guest and attach to the consumption sheet after every buffet set up.Secure all requisition items from food, beverage and general store for use in the Club Lounge.Responsible for daily Beverage inventory.Maintain Hygiene standards in the departmentEnsure that all stock is established as per par levels and stored according to JI Food Hygiene Standards.Ensure that the mis-en-place of the bar i.e., condiments, tray cloths, cocktail napkins etc. are ready for service as per the requirements of the individual outlet and expected business level requirements prior to opening.Ensure that the guest is presented with the correct order and that all drinks are prepared and served as agreed in the standard operating procedures.Maintain a complete knowledge of cocktails, beverages and wines to advise the guests and colleagues when necessary.Undertake opening, closing & cleaning tasks as detailed on checklists.Inform Manager/ Assistant Manager of any stock losses, problems or unavailable items.Assist in the stocktaking of beverages and operating equipment.Coordinate with Stewarding to ensure equipment and bar area is kept hygienically clean and tidy at all times and sufficient glassware is available for the levels of business.Control and rotate stock.Ensure the checking of expiration dates and that all perishable garnishes are stored and recorded in designated storage area. Work towards maximizing room revenue by up-selling to a higher rate category and selling the highest possible rates for walk-in guests.Take advance payment guarantee on check-in for all guests according to the Resort’s Credit Policy.Carry out a Credit Check Report on each shift ensuring that all in-house rooms have sufficient credit.Carry out cashiering duties like foreign currency exchange, paid-outs etc.Close their individual cashier audit at the end of each shift ensuring that all details balance.Maintain their cash float, take full responsibility for it ensuring that it is balanced at all times.Minimize rebates and ensure that they all have sufficient justification, back-up and signatures.
