Responsibilities Sales Coordination Coordinating Sales activities and operations to secure efficiency and compliance to company policies Assist & Support the sales team on managing Tender schedules, filing important documents (Enquiry, Quotation file, Customer order file, Purchase order file, Invoice & Delivery note file, Debit Note file, Credit note file,) and communicating relevant information to the team. Review tender documents and prepare Tender Review documents to distribute to all concerned team, included with all important tender requirement and information like: Contract Duration Submission date Clarification submission date Requirement of BPG, tender bond, etc.. Insurance requirements Contract value Others To check and respond to tender clarifications as required with support of the sales and support functions. Assist and prepare Quotations and Tenders on time and then follow up with client for the status of them, keeping the team up to date via weekly meeting and file tracker. Tender and contract track records Secure the updated documents required for Tener submissions like (insurance, financial statements, QHSE, etc..) Invoice revision before submission to clients Ensure Invoices are submitted to customer on a timely manner and follow up with them to ensure payment is done on time. In coordinator with the sales team, prepare the Monthly accrual As needed, coordinate planning activities with other functions and stakeholders within the organization. Assist colleagues whenever necessary Track stocks of office supplies and place orders when necessary Operations Coordinator Coordinate Field activities and operations to secure efficiency and compliance to company policies Preparation of Service Ticket for new contract and ahead of new jobs File and maintain job report and associated file Lead and Manage the Travel department team responsible for booking flight, hotel and arranging visa. Identify best and cost-effective travel and accommodations agents for field personnel and staff travelling across the region Lead and Manage Personnel Allocation plan with the personnel coordinator Collect and review the lookahead from all region and host the weekly meeting Maintain records Office Administration Supervising administrative staff and dividing responsibilities to ensure performance Manage phone calls and correspondence (e-mail, letters, packages etc.) Assists office staff in maintaining files and databases. Ensure that the field Report sent to the Company Product Line Manager and his team Prepares reports, presentations, memorandums, proposals and correspondence Manage agendas/travel arrangements/appointments etc. for the upper management Create and update records and databases with personnel, financial and other data Tracks office supply inventory and approves supply orders Personnel CV’s review and updates Qualifications B. Sc. Business Administration or relevant field is preferred Proven experience Outstanding communication and interpersonal abilities Knowledge of administration and filing Basic accounting principles Excellent time management with multi-skills, organizational, analytical, and problem solving and ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines Relationship building/ interpersonal skills Knowledge of office management systems and procedures Excellent Written and verbal communication skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) Outstanding organizational, time management and Leadership skills Discretion and confidentiality Please include a cover letter together with your CV.
