Dubai -Purpose of the Role The Facilities Administratoris the go-to person for all vendor and facility-related issues while promoting corporate values and shaping a positive culture. Plan and coordinate all installations (inclusive of utilities) and refurbishments. Manage the upkeep of equipment and supplies to meet health and safety standards. Maintain the integrity of the buildings and structures to ensure general upkeep and manage the space allocation for groups/departments. Control activities like parking space allocation, waste disposal, building security. Keep financial and non-financial record and perform analysis and forecasting Responsibilities of the Role (but not limited to:) Facilities Management Manage administration, facilities, procurement, security, asset management, housekeeping, Certification and up keeping of existing infrastructure to support core business operations. Skilled in negotiating new and existing licenses, Lease, permits its renewals (HO, warehouse, shops/kiosk) Space Management and Desk Configuration Responsible for maintenance, development and renewals of property, vehicle and medical insurance. Processing documents for POA, Leasing, Side Agreements Management of AMC which includes workshop equipment’s, pest control and billboards Maintain Civil Works including purchase of needed furniture, materials as well as office stationeries & pantry items. Health & Safety Manage and ensure compliance of all installations Employee Communications & Handbook Management Schedule review and Facilities Testing Vendor Management Tender submission Tender Validation Manage payment and processing Skilled in project execution-billboards (DM approvals & DEWA connections). Gov't Liaison Liaison with MOL, DED, DM, DEWA, SAIF Zone UAQ Zone and other government departments. Asset Management Paint Meters T Shirts Manage Data and Data Collection Essential Desirable Qualifications & Knowledge Bachelor'd Degree Professional qualification in related field Experience Proven experience working as an Facility Administrator Experience in Facilities and Office Management Previous experience in managing remote and regional based office locations. Skills & Aptitudes Good knowledge of Microsoft Office, using word and expanded excel functions. Good analytical/critical thinking with excellent organisational skills. Skilled negotiator with the ability to manage multi-disciplined and multiple vendors commercially aware for pricing purpose. Understanding of finance ,invoicing process and budget control. Good written and verbal English skills Excellent interpersonal and leadership skills with good communications skills are essential. Any other languages spoken are desirable.
