Dubai -Day to day operations of the HR functions and dutiesIssuing letters requested by the employee (Salary certificate, NOC, Employment Certificate, Experience Certificate etc.)Ensures the updated Compilation for employee records (hard and soft copies)Ensures clerical and administrative support to Human Resource DepartmentDaily monitoring of incoming and outgoing emailsMonitoring of all expiry’s (Passport, visa, employment card, emirates ID, insurance, tenancy contract etc.)Preparation of Job Description for the new available positionArrange and will be in follow up for documents needed for Visa application of new employeeAssisting the PRO in visa application (From Documentation, medical to visa stamping) / cancellation (From preparing the cancellation paper to receiving the cancellation) during his absenceAssist PRO in administrative taskAssist PRO to all company’s/employees documents for renewalAssist/apply for visa/cancellation in the absence of the PROBooking of tickets and hotels for upcoming new employeesMedical insurance (New enrollment, claim reimbursement, deletion)Ensure that accurate records are maintained and filed in accordance with the company policy and procedures.Recruitment initial process as requested by the HR Manager (Posting of ads, CV short listing & Initial/telephone interview)Completion of Recruitment in terms of Documentation (For new visa and labour application)Arranging the original passport of employee with new visa – hired inside UAEArranging the arrival of new candidate hired from outside UAE (Booking of tickets, hotel accommodation, airport pick up and send email guide to the new staff)Arrange Entry-Permit to new staff hired inside the country who exit and will come back to Dubai - with Employment Visa (ticket arrangements will handled by the staff, ask for copy for recordApply for new staff company insurance once Entry-Permit and original passport are received from staff as insurance card or certificate is needed for visa stamping on passport.Ensure that Change Status/Residence Visa/ Exit Paper, IT hand-over and Final Settlement are received and complete before closing each file of the staff who left the company.Sending of JD and HR Manual to the new employee.Calculating leave balance of the employee as requested by the HR ManagerAssisting the daily query / request of the employee / answering calls & emailsPreparing correspondence, memo’s, binding etc. as when neededReviews incoming correspondence and initiates replies as appropriateAssisting the PRO Monitoring Expiry of employee’s visa, employment card, emirates ID and occupational health card (for F & B Division)Assisting the PRO Monitoring Expiry of Companies legal documents (Trade License/ Establishment card etc.)Assisting the HR department in any form / any way could assistQualifications & Skills: Degree related in Human Resource.Minimum 2-3 years work experience in HR department.Proficiency in spoken and written EnglishAbility to build positive working relationships (internal/external)Ability to persuade, influence and negotiate effectively at all levels within and outside the organizationSelf-motivated, Enthusiastic, Reliable and Sociable.Team PlayerJob Type: Full-timeExperience:Administration: 1 year (Preferred)
