HR/ Admin Manager - Nathan & Nathan-Dubai

Dubai -THE SUCCESSFUL CANDIDATE WILL .. Be a Native Arabic speaker with good English skills. Plan, organize, direct control the personal, training and other labor activities of the organization. Maintain the work structure by updating job requirements and job description for all positions. Plan and conduct new employee orientation to foster positive attitude towards organizational objectives. Serve as a link between management and employees by handling questions, interpreting and administering contracts and helping to resolve work related problems. Arrange, direct, supervise and coordinate work activities of subordinates and staff relating to employment, compensation, labor relations and employee relations. Analyze training needs to design employee development, language training and health and safety programs. Ensure planning, monitoring and appraisal of employee work results by training managers to coach and discipline employees. Schedule management conference with employees, hear and resolve employee grievances, counsel employees and supervisors. Maintain records and compile statistical reports concerning personal-related data such as hires, transfers, performance appraisals, and absenteeism rates. Handle employee resignation, termination or abandonment of service. Conduct exit interviews to identify reasons for employee termination. Perform timely roll out of annual or biennial assessment, recommending rewards and recognition accordingly. Investigate and report on industrial accidents at work place for insurance carriers. Represent organization at personnel related hearing and investigation. Prepare personnel forecast to project employment needs. Perform difficult staffing duties, including dealing with understaffing, referring disputes, issuing notices & warning letters and administering disciplinary procedures. Promote equality and diversity as part of the culture of the organization. Develop job descriptions and person specification, prepare job advertisement, check application forms, short listing, interviewing and selecting candidates after consultation with the CEO. Maintain management guidelines by preparing, updating and recommending human resource policies and procedures. Maintain employee records and compute employee annual leave and end of service benefits. Interpret and advise on employment law. Monitor all day to day manpower concerns and to enhance employee’s knowledge on organizational objectives. Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications & establishing personal networks. Provide HR advise and support to the managers and employees, explaining procedures and policies in a timely effective manner. Establish organize and supervise the maintenance of department records, ensuring complete accuracy and confidentiality. Perform general administration functions including housekeeping, facility management, Transport arrangements, labor accommodation, new visa and medical processing, ID typing, labor cards, visa renewals, trade license renewal, liaising with statutory organization and government agencies. Put forward employees leave applications for authorized signatory’s approval and arranging for employee’s air ticket as per the organization rules and regulations. Handle administrative related procurements. Monitor timely payment of bills for telephone, water & electricity, lease renewals, accommodation rent and payments etc. Arrange renewal of insurance policies of the organization concerning, premises, fire and burglary insurance, Employees health insurance, and employee’s workman compensations. Taking care of company’s printing material requirement like letterheads, visiting cards, envelops, log books etc. Placing order for all stationary items as per the requirements. Servicing, Repairing and maintenance of all office equipment’s, that is fax machine, photocopier machines, computers, telephone, switchboards etc. Draft circulars and memos on HR policies and update the same on regular basis, arrange internal meetings in coordination with the Department Managers. Supervise and monitor that all the reception/ front office desk duties have been complied with like, calls are being answered politely/ professionally, meet and great guest, receive/ send couriers, coordinate with Imdaad for waste water/Skip collection and efficient running of the front office desk. To work out on best way of reducing cost and to achieve positive result in communication, stationary, repairs, maintenance and fuel expenses. Organize and control all the drivers(except boss driver and container driver) of the company in assigning jobs, monitor their daily schedule, maintain log books and all other activities. Arrange purchase of new vehicles, renewal, payment of salik, maintenance and servicing of all the company vehicles as per the schedule and when the need arises. Review and update health and safety policies and arranging for health and safety equipment to be tested on a regular basis. Arrange for the pickup of mail from the post office on every alternate day. Purchase of office furniture as and when required. Manage filing, storage and security of all documents. Organize business visa for the employees of the company for their official visits. Meeting with senior managers to review office performance. Monitoring the office attendance sheet, issuing warning notice for late comers and taking measures to maintain proper office discipline. Any other HR and Admin related jobs assigned any the management from time to time. AUTHORITY: Authority of the HR and Admin Manager includes decision making and approval of all matters related to the department. Authority to delegate works to subordinates. Sign all documents (excluding legal documents) connected with the department Handling of petty cash connected with the department expenditure Authority as PRO Negotiation Involve in all matters concerned with human resources in all departments
