Executive Secretary (DMCC Experience) - Phantom Associates-Dubai
Dubai -Provide assistance to GM/CEO personal requirements Provide administrative support to the General Manager and Senior Management Handle the daily clerical and administrative functions of the office. Organize travel programs for directors and managers, manage their overseas travel itinerary, books tickets, confirms business agendas, arranges hotel stay, vehicles and special events as required. Prepare Tourist Visas for employees and company visitors as and when required. Preparing Travel expenses for General manager, CEO and Senior Managers. Handle all travel requirements of current and incoming company and staff as required. Manages and executes entire onboarding process start to finish for new employees including document preparation, DMCC application/submission, GDRFA, Emirates ID, medical fitness testing and passport stamping. Handle employees Medical Insurances including new applications, follow ups, and renewals. Liaises with all government bodies and departments to ensure timely execution and approval of all Visa, insurance and ID requirements in accordance with relevant regulations. Assist CEO, General Manager and senior management with all day to day administrative tasks as and when required. Assist with research required throughout the office. Greet visitors to the office, and assist with meeting necessities. Make and screen phone calls on behalf of CEO and General Manager as required. Job Requirements In-depth understanding and experience with DMCC Visa, insurance, and passport regulation and processes required. High level organizational and planning skills Excellent communication skills Above average information gathering and monitoring skills Excellent problem analysis and problem solving skills High levels of initiative and attention to detail/accuracy Excellent time management skill Proven experience as an administrative officer with minimum 3-years experience in similar role. Understanding and experience in office management Full proficiency in MS Office
