Dubai -Land Sterling is looking for a full-time Receptionist/PA to the Board. Job Purpose: To be responsible for providing the necessary support to the Management by offering a complete secretarial, administrative and legal support service and general office duties of a responsible and confidential nature. She will be the “face” of the company for all visitors and will be responsible for the first impression they make. This includes first point of contact direction, time management, correspondence disposition and resolution. Responsibilities: Receptionist - Responsible for managing the front desk; providing support to ensure facilities services are provided in an effective and efficient manner. Receive, direct and relay telephone, fax & email and other queries in an professional manner. Greet, assist and direct candidates/new hires/visitors and the general public to the appropriate staff member. Manage incoming/outgoing mail and courier services. PA to the Board - Provided secretarial, administrational support to the Management on daily basis by attending the routine administrative paperwork and ensuring the smooth flow of documents. Coordinate office management activities. Arrange conferences, meetings, and travel reservations for the Management official and personal trips; Booking flight tickets, drivers and hotel reservations manual and/or online and obtain all the necessary confirmations for the bookings. Managing calendar; Setting up meetings, organizing and maintaining diaries with internal departments, external visitors and with senior officers at the different Governmental Authorities within UAE. Preparing the necessary legal documents required for these meetings. Taking minutes of meetings and following up on the discussed matters if necessary. Filtering the Management outlook/emails, briefing them, responding on their behalf and forwarding some of these emails to the internal departments for their actions. Handling correspondence, presentations and reports. Monitor, screen and define the appropriate action for all incoming correspondence, calls and visitors before it goes to the Management. Prepares routine letters, Organizational reports, gathers and summarizes data in order to ensure availability of data. Creating templates to organize and improve assistance to Management work (i.e. action list, notes and actions for the (committees), implementation of hard and soft copies filing control system. Attending meetings with the clients and raising reports to the Partners when it is necessary. Observes confidentiality procedures and registers and tracks accountable documentation to ensure security and control. Liaise with the HR dept. and coordinate the renewal of the Management documentation (i.e. visa, emirates ID, insurance policy including their family members). Education, Skills & Experience: Education - Bachelor degree in Business Management with Law knowledge Skills - Someone with a positive, enthusiastic personality – and a can-do attitude. A driven and energetic team player who loves to pitch in wherever they can. An incredibly organised and detail-oriented individual. Team player and can take initiatives respecting procedures. Very cooperative and happy offering assistance to other colleagues. Respecting and meeting deadlines and following up instructions. Anxious to finish tasks meeting the deadlines. Keen on follow up matters. Easily adaptable to new challenging environment. Excellent communication skills & a client centric mindset. Fluent in English and Arabic language. Experience - professional support person who has solid experience in a P.A. role (financial services or legal industry experience preferred). About You: The ideal candidate for this position will have the following experience and qualifications: Business or Hospitality related degree from an internationally recognized institution. A minimum of 1 years in a sales role within a hotel environment. Solid overall sales background in a five star luxury hotel. Understanding & experience of basic revenue management practices.
