About the Job: To be the first point of contact for internal guests visiting the HR Department and to ensure the efficient running of the department by providing accurate and timely administrational support. Ensure Human Resources Reception area is kept clean and well maintained at all times. Provide a warm and friendly welcome to all visitors, fielding queries to appropriate team members and managing flow of visitor traffic. Process new, lost ID cards, name badges, medical cards, and national ID card. Ensure that all colleague requests are processed within 3 working days, liaising with HR Administration where appropriate. Maintain colleague cafeteria logbook Coordinate colleague cafeteria events Coordinate colleague cafeteria meal count Track and maintain sick leave records, coordinating sick or injured colleague support. Coordinate colleague medical examination appointments. Maintain up to date disciplinary action records Coordinate with interview booking with candidate’s Coordinate with departmental Administrator and Coordinator for submission of time & attendance records. Responsible for colleague birthday card signatures and distribution of the gift. Coordinate exit interview bookings and associated data entry. Coordinate and maintain colleague communication initiatives (plasma screens, designated noticeboards, posters etc) Organize and requisition HR stationery supplies. Maintain supply of HR forms in all designated racks across the SBU. Ensure all office equipment is maintained and that any damaged or unsafe equipment is reported to the appropriate department. Coordinate mail collection and deliveries and ensure pigeon hole is cleared on daily basis. Maintain colleague locker tracking Any other duties as may reasonably be requested by the management team including occasional operational assistance for large events or hotel functions. About You: The ideal candidate for this position will have the following experience and qualifications: Minimum 1 year of working experience in similar capacity in a hospitality establishment. Good command of written and spoken English. Experience in Secretarial and administrative duties. Working with multi-cultural teams.
