Office Manager - Robert Half-Dubai

Dubai -Responsibilities/Tasks Source new suppliers/vendors, review and negotiate vendor contracts on a regular basis, ensure renewals are done on time, specifically, the office lease and office insurances. Approval of Administration & HR Supplier invoices - submit to Accountant for payment, ensure invoices properly scanned and filed for audit purposes. Petty cash for cash payments, reconcile every month and provide vouchers to Accountant. Assist with bank transfer payments (only when Accountant is on leave) Dealing with any office maintenance / repair teams Ensure we have adequate stock levels of stationery (incl business cards), pantry, IT equipment, etc. and that staff have all the tools/equipment necessary to do their jobs. Manage IT and mobile phone issues with local IT Supplier and Etisalat/Du. Handle all government processes (company license and data protection renewals, staff visas for UAE and when travelling, i.e. KSA visas, medical insurance, PO Box renewal, etc.) Manage Driver's diary Manage filing systems in the office, to ensure paperwork is kept to a minimum and well-organised Keep staff contact list up to date Keep information on Client Services Programme up to date. Fire Warden / First Aider Ultimate responsibility to ensure the office is organised, presentable and tidy and is an environment where staff can work optimally. Arrange staff events - at least 1 every quarter and assist Investor Relations Officer with client events. Send monthly payroll deductions to accounts Record all annual & sick leave for employees, ensure necessary approvals have been obtained. Issue salary certificates and other NOCs for staff, upon request. New staff inductions (ensure induction document up to date and have discussion with new joiner on first day) New staff on-boarding (visa, medical insurance, building access card, mobile phone & number, prepare desk, ensure IT account set-up, appropriate file access, business cards, contract, where applicable accommodation and flights). Assist with finding new hires, excluding those driven by CEO (create job description, liaise between department who is hiring and recruitment companies to find the right CVs, set-up interviews, provide feedback, send offer letter, perform reference checks and background screenings). Travel arrangements for staff: obtain approval from COO and instruct travel agent to issue the relevant tickets (except for senior management all staff arrange their own travel) Ad hoc PA duties for Senior Management (i.e COO, CLO, Portfolio Manager), including travel arrangements, expense claim forms and typing and sending letters/documents. Ad hoc projects working with any of the departments in the office, i.e. Office Move, re-branding, rolling out of new IT systems, etc.
