UAEBrief Description Job Purpose The Tenant Services Officer is responsible for maintaining effective relationships between tenants and Corporate Real Estate Department (CRE). Ensures that all tenants are adequately accommodated within the policy, procedure & guidelines of the department. Perform other related duties as required such as management reporting, interdepartmental coordination, administrative task for procurement activities. Assist on the preparation of inputs related to ENOCs assets & projects budgets to the next reporting line The role is in an office environment, accountable for maintaining a professional work environment, staff supervision, and administrative support under “front office services”. Detailed Description Principal Accountabilities Receive & process applications for tenancy to ensure that applicants are provided with required information Explain the eligibility and application process to potential applicants Provide applicants with application forms and assist with completion of forms Receive and review applications to ensure all required information is included Determine eligibility of applicants through verification of income, checks on arrears and reference checks Apply the point rating system to applications Identify and allocate units to approved applicants when available Relationship Management Maintain effective relations with all tenants to ensure they are aware of their rights and responsibilities concerning tenancy in ENOC’s property Advise management about tenant issues and concerns Maintain and review tenant’s files and unit/tenant inventory Implement and administer CRE commercial tenancy and in-house polices, programs, and procedures. As well as, recommend changes to policies, programs and procedures Process tenant check-ins Calculate tenants base and monthly rent Collect damage deposits and first month rents Explain lease agreements, tenant responsibilities and in-house rules Complete check in inspections, inform maintenance of deficiencies and enter information into the database Process tenant checkouts Identify tenant damage, complete invoices to recover costs and/or complete damage deposit refund statements Administration Manage and collect rents to ensure that tenants are paying appropriate rental costs according to ENOC rent scale Administer tenant ledger cards Maintain monthly rental, tenant damage and other related accounts Ensure rent reconciliations are completed Identify tenant debts and distribute collections letters Coordinate the activities of document control, including distribution & auditing of controlled documents, maintenance of electronic directories, tracking & reporting of the document review process Front Office Services Coordinate & maintain administrative procedures to ensure an effective and efficient office environment with front office services Respond to public inquires Maintain CRE inventory Administrate and maintain assets registration Compliance with EHS & Quality requirements Co-ordinates with all departments concerned to maintain front office functions properly Handles visitor’s complaints and other related problems and reports on log book Legal Comply with legislation and make applications to Senior Management to ensure that all legal requirements are met Be aware of and comply with relevant legislation including the Commercial Tenancy Law in Dubai - Make applications to the Rental Officer when tenants are in breach of the tenancy agreement Requirements Minimum higher diploma, preferably a university degree, or professional & vocational qualifications including industrial standards certification 3-4 years’ experience in Property Management Knowledge and expertise in the ability to quickly develop a knowledge of Dubai - Tenancy Law and ENOC in-house policies, programs and an understanding of the procedures involved with all aspects of tenant relations and familiar with applicable legislation including the Commercial Tenancy Act. Well-developed communications skills Ability to read and comprehend legal documents and operations manuals, sound analytical and organizational skills Well-organized, methodical manner and a problem-solving ability to think ‘on the run’ Ethical, honest, adhering to principles & values Delivering results & meeting customer satisfaction, following instructions & policy, procedures
