Dubai -Act as first point of contact at Corporate Office, proactively and promptly review/track and screen all incoming queries such as, telephone calls, emails and messages etc.Assist the Chairman/Top Leadership in their daily administrative duties and undertake a broad variety of administrative & secretarial tasks that include managing active calendar of appointments/meetings; completing expense reports; composing and preparing correspondence; and compiling documents for meetings etc.Receive high profile Guests /Visitors /Clients at Corporate Office in a professional manner.Provide high-level secretarial and administrative support for internal and external meetings /conferences where Chairman/ Top Leadership of the company are involved.Prepare agendas, co-ordinate with external bodies/other departments, prepare presentations /minutes of meeting, and ensure follow-up actions as required.Maintain records of all confidential/restricted documents and ensure their safe custody.Arrange detailed business travel plans, itineraries for the Chairman/Top Leadership and Employees including their travel visa, air ticket and lodging /hotel accommodation etc.Act as In-charge for Other offices, Board room and co-ordinate with Admin/ Maintenance Dept for their regular upkeep and maintenance.Keep a track of Passport/visa/Insurance expiry details of the Chairman/Top Leadership and their families and advise HR Dept for timely renewal.Prepare and renew existing contracts & agreements with impaneled Hotels/Air ticketing agencies etc and review the contracts annually based on their service and requirements.EDUCATION & TRAININGBachelor's degree preferably in Business Administration or equivalent.SKILLS & ABILITIESMinimum 2 to 3 years of experience in similar role.Excellent organizational and time-management skills.Proficient in MS OfficeFemale Arabic Speaker preferredJob Type: Full-timeExperience:Executive Secretary: 1 year (Preferred)
