About the Job: An opportunity has arisen for a Executive Secretary to join Executive Office in Jumeirah Living WTCR. The main duties and responsibilities of this role: Arrangingmeetings with external and internal guests Deal withall telephone enquiries promptly and accurately recording messages in theMessage Book for the General Manager. CheckGeneral Manager's electronic mail system for any urgent messages and print outas required. In his absence ensure matters are referred to alternativeExecutive Committee members for action and ensure response is made whenrequired. Checkingthe Opera system for guest information. Ensuredaily and weekly reports are on hand prior to the daily and weekly meetings. Has all thenecessary paperwork in hand for the current working day. Maintain anup‑to‑date comprehensive filing system ensuring correspondence is filed on adaily basis and old correspondence/files cleared out on a regular basis (or atleast annually). To managean efficient and effective trace system for the General Manager to ensureaction is taken at the appropriate time on relevant matters. Similarly ensurefollow‑up is done on matters initiated and requiring a response and deadlinesare kept. To sendfacsimiles and follow up for responses where required. Typing ofall correspondence and reports of the General Manager’s office - received inmanuscript or dictated form. About You: The ideal candidate for this position will have the following experience and qualifications: At least three years’ experience as Secretary to a Senior Manager Should Secretarial/ Administration certificate desirable. Shorthand skills are essential Has worked in multi-cultural environment.
