Dubai -JOB DESCRIPTION JOB TITLE: Executive Assistant to the CEO REPORT TO: CEO, Middle East, Turkey, India and Africa (METIA) ROLE: Reporting directly to the CEO, the Executive Assistant also provides executive, and administrative support to the Senior Leadership Team (SLT) and People + Culture (P+C) Team. Responsibilities include managing calendars, making travel arrangements, taking minutes and other organizational tasks. To be successful in this role, you should be well-organized, have great time management skills, excellent soft skills and be able to act fairly independently. At this level, you will be able to provide: Executive Support Be the right hand of the CEO and assist with daily administrative duties and complete a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; daily time sheets, compose and prepare correspondence; arrange complex and detailed travel plans, itineraries and agendas, arrange off-site meetings, and compile documents for meetings. Oversee SLT’s annual leave. Keep track of the whereabouts of the SLT. Execute travel and accommodation arrangements for SLT Manage executives’ calendars and set up meetings Liaise with the Global CEO’s Executive Assistant regarding meetings, calls, etc. P+C Support Administratively support P+C director on visas and insurance for H+K METIA employees Act as a first point of contact for new joiners re their visas and medical insurance, draft documents required and support in the application process Book flights and hotels for new joiners from abroad. Liaise with them on all aspects of relocation and be their ‘go-to’ person. Provide induction to new joiners on visas and insurance during onboarding Liaise and follow up with PRO Keep records of expiry dates for all staff passports and visas and act promptly for renewals/ cancellations Update insurance records as and when staff join and leave Secondary Support: Actively participate in yearly negotiations with brokers for medical insurance along with CFO. All paperwork for KSA multi-entry visit visas Oversee Office Managers, Office Assistants and Receptionist’s by being their ‘go-to’ person Act as the point of contact among executives, employees, clients and other external partners Support on travel and accommodation arrangements for H+K METIA employees, both business and personal Provide general administrative support SKILLS + COMPETENCIES Must have strong interpersonal skills and the ability to build relationships with stakeholders, including staff, SLT, clients and candidates Confidence to seek input and response from senior staff Ability to work across multiple teams and countries Able to multi-task, work swiftly and meet deadlines Excellent management and problem-solving skills Ability to use various softwares, including word processing, spreadsheets, databases, and presentation software Excellent writing, editing, grammatical and organisational skills High level of attention to detail Ability to work independently and with professional discretion QUALIFICATIONS: University degree Minimum of 5 to 7 years’ experience. Experience in the communications industry would be an advantage Proficiency in Windows, including MS Word, EXCEL and PowerPoint
