Working closely with the Senior Leadership Team, you will be responsible for all tasks pertaining to the office and its management.JOB Overview:The overall purpose of the Administration Manager job is to provide accurate, efficient and committed office work / administration support to the team and Management, take care of office premises, coordination with contractors/suppliers, meeting arrangements, Government formalities for the staff visas and necessary labor approvals, travel management and all other admin and office related support assigned by the management. Keeping all work related matters with ultimate confidentiality is the most critical factor and a MUST for the successful Administration Manager.MAIN RESPONSIBILITIES:Manage the reception:welcoming the guest and receiving them in a friendly mannerto reflect the company’s values such as warmth and hospitalityOffering visitors refreshments and guide them to concerned staff;Booking the meeting room for the various meetings upon receipt of notification from the team;Answering the phone promptly and in a skillful and helpful manner;In case a message is left for any person in the team, making sure the message reaches him/her with a gentle follow up to ensure the call is returned and the case is attended by the team;Need to know the key clients and delicately attend to them weather on the phone or if visiting the office;Serving customers nicely, with kindness and a supportive language;Weekly collection of mails in Post Box on a fix day and ensuring the mail is being delivered to concerned staff;Ensure cleanliness of the office;Ensure having enough stock of office items (pantry, toilet and stationery)Liaise IT related cases with IT Technicians for any modification or trouble shooting;Keep a track of staff birthdays and arrange cake/food for internal celebration Handling HR related tasks:Arrange proper personnel files under guidelines and direction of HR and complete all the related records and history of the staffKeep the personnel files updated at all times and with extreme CONFIDETIALITY;Company representative / PRO (Process and attend all formalities related to visas, lease agreement and license)Prepare and maintain all documents related to HR/Admin (Salary Cert., NOC, Offer Letter, Contract, Leave File etc.)Post advertisement for Job vacancies, screen CVs and schedule applicant for interviews.Arrange for medical insurance, medical claims and necessary coordination and follow up with the insurance companyHandle the company log sheet and keep a very precise track of the staff leaves including: annual, business, sick, compensation, hourly, etc.Making company announcements in coordination with management and HR;Coordinate with suppliers for any office or client requirements.Prepare Quotation and follow up for PO’s and payments.Assist the team when it is deemed necessary.
