UAETemporaryUnder the general supervision of Senior Manager – Eppco Lubricants, the Job Holder will provide support to key elements of the Eppco Lubricants administration and secretarial support, plan & schedule, corordinate and is responsible for enhancing Eppco Lubricants pre and after sales services with customers which in turn can be used as one of the advantages over EL’s competitors. Detailed Description Principal Accountabilities A) Account Acquisition: Receive customer inquiries/calls while the Marketing Executives are out on the field. Follow up with customers on deliveries as and when required Assist in Maintain customer files. Open customer accounts for the entire team once all the documents are in place. Maintain and update customer product and pricing data base for both shareholders. Maintain customer complaint register, follow up and close out QIR’s Maintain and update customer credit balances to ensure prompt credit collection. Co-ordinate with Office Assistant to ensure that D.A’s are promptly attached to the invoices and passed on to Customer Service Assistant for onward transmission to EL customers. Monitor on random basis if the Customer Service Assistant follows the schedule for cheque collection & invoice delivery. Prepare receipts for cash & cheque in the absence of procurement analyst. Maintain proper documentation for all Expenditure Requests and close out all ER’s once job is completed. Prepare PR’s for the entire department for supply of equipment to customers as well as all the promotional giveaways. Co-ordinate until the PO’s are prepared and approved follow-up until supplier invoices are received and GRN is prepared in the system. Provide a quarterly report on the outstanding PO’s and provide reasons for non closure of PO’s. Maintain and update data on all equipments loaned to EL customers. Ensure proper acknowledgements are obtained from the customers. Follow up with F&A on ER implementation and receive proper confirmation to update customer equipment data base. Update and maintain Quality Procedures/documents to be in line with the EPPCO’s Quality objectives. Provide administrative and secretarial support to Manager Eppco Lubricants as well as Area Managers. Preparation of Board Report in liaison with Area Managers. Analyse and generate statistical data from Oracle. Assist in the preparation of correspondence and reports, including minute taking, confidential materials etc. Arrange meetings on behalf of Manager Eppco Lubricants, prepare agendas when required and related materials. Liaising with other departments for any requirement and support for the entire team. Coordinate the leave records for the team. Managing the office telephone system and maintaining international calls/fax register. B) Account Management & Development Monitor and promptly advise Sales Managers of any credit violations or over credit issues. In consultation with Sales Managers, develop/update Quality Procedure and update as required. Check supplier invoices for accuracy and process the same for payment. C) Team Work: Establish key relationship with EL Marketing sales managers, CSS staff and shareholders. Develop and strengthen team work between EL Marketing personnel and CSS to ensure EL’s goals and objectives are met. D) Reporting: Reports to Manager Eppco Lubricants. Prepares Sales Analysis/Key Performance Index reporting. Acts as a link between ENOC and Caltex Sales Team on items where required. E) Other responsibilities/assignments The job holder may be required to perform other tasks from time to time as requested by ENOC and Caltex Lubricants Sales Managers. Will be responsible to operate computer programs, create basic documents and reports, able to look up at corporate / company formats and find information requests as requested by the managers. The job holder will be responsible for typing, filing formatting, data entry and answering phones which is not only limited to the direct manager but should be viewed as office support. The job holder should co-ordinate for office equipment requirements and arrange special social venues, farewell / welcome parties.
