Dubai -Full-time, ContractJob Description (Roles and Responsibilities) The British Embassy Dubai - has a vacancy for an Expo 2020 Project Officer under the Department for International Trade (DIT) for a fixed-term contract until August 2021. The Department for International Trade (DIT) is the UK government department leading on Expo 2020, with a team based in London and a team in Dubai -. The British Embassy Dubai - is leading the overall in-country support for the UK Expo effort, including working with the UK Pavilion team at the Expo site once in place. The core theme of Expo 2020 Dubai - is Connecting Minds, Creating the Future. It signals the global need to work together to inspire future generations and to develop partnerships across sectors, organisations, and geographies to address the many needs of our fast changing world. The UK’s participation theme for Expo 2020 Dubai - is Global Britain – Innovating for a Shared Future, led by DIT. UK participation will consist of a self-build country pavilion with an accompanying business and cultural programme to promote the UK as an excellent destination for business, education, and tourism. The main purpose of this role will be to support the next phase of the Embassy’s delivery for Expo 2020, ensuring the Embassy is fully prepared in all aspects of planning and delivery for an ‘all of Post’ effort in support of the UK’s presence at Expo 2020 Dubai -. The position requires excellent project support and organisational skills to drive forward the next phase of Post’s strategy. Communication and interpersonal skills will be critical when working with the wide-range of stakeholders involved in the project and the jobholder should thrive when working in a multi-functional busy team with many roles. Being flexible, adaptable, and able to balance conflicting priorities is essential as we rapidly evolve from planning to delivery from the one year to go mark. The jobholder will need to be a self-starter with passion and motivation to make this project a success alongside the growing team. Duties and responsibilities:Project support: The jobholder will be expected to undertake a wide variety of tasks, including assisting with planning the delivery of current and new projects, organising meetings, preparing agendas and minutes, updating critical project documentation, and linking Post’s project development with the wider UK at Expo 2020 project plan. Other tasks include: Providing project updates and reports via Excel and any other tracking systems as required to senior management each month; Developing and coordinating an Expo 2020 Learning & Development programme, assisting with delivery of the strategy under the guidance of the Programme Manager. Ensure the right learning tools are developed to meet the needs of the stakeholders, drawing on all relevant resources, internal and external; Contributing to Corporate Services support for the project by offering resilience during peak moments; Carrying out associated administrative duties where necessary; Contributing to the local project closure and evaluation and lessons learned summary.Stakeholder management Maintain constructive relationships with a broad range of internal and external stakeholders to provide timely updates on project progress and engage stakeholders in opportunities for collaboration at the UK Pavilion; Participate in relevant internal and external working groups/ projects and present at meetings/ conferences, working with the Expo Communications Officer to ensure timely communications; Manage a project to support senior stakeholders at the British Embassies in Dubai - and Abu Dhabi, identifying specific Departmental priorities and objectives for the region through Expo 2020 Dubai - and the opportunities to maximise use of the platform to achieve these; Create and manage an Expo-specific country business plan for the various Her Majesty’s Government (HMG) partners to capture objectives and track progress over a two-year period.Crisis preparedness: Support the Programme Manager and internal Crisis Committee with preparations for Post’s crisis plan and business continuity arrangements for Expo 2020 Dubai -. This include organising training sessions for staff, supporting crisis test exercises, managing crisis plan documentation on the Crisis Hub and Teams, as well as other crisis related work as it emerges.Expo events and visits: Effective support and delivery of high level VIP and wider UK Expo team visits to the UAE, in coordination with the Team Administrator. Tasks to include commissioning of transport and logistic plans, coordination of briefings across HMG, Post, and Expo 2020, production of note verbales, and liaison with UK DIT.Other tasks as required Deputise for the Programme Manager on occasion where necessary for business continuity purposes; As preparations for Expo 2020 gather pace at the British Embassy, the role will expand and evolve to supporting a larger team, working across teams and roles at the Embassy and taking on new ad hoc tasks as necessary. This may include occasionally working at the Expo site in Dubai - South; Ad-hoc working from British Embassy Abu Dhabi (transport provided) to build engagement with teams and increase inclusion in Expo preparations. Salary is at AED 13,743 per month. There are no other allowances payable as part of this package. No accommodation and relocation expenses are payable in connection with this position. Conditioned working hours are 38 hours per week. Standard working hours are from 07:30 to 15:06, including a lunch break of 36 minutes, from Sunday to Thursday. The jobholder will be required to be flexible in their approach to hours worked as these will be dictated by operational needs and may involve working out of hours, especially during events and visits on the approach and during Expo 2020.
