Jebel Ali FreezoneFull-time, PermanentAED8,000 a monthMaintain employee personal files in both hard and soft copy form and ensure confidentiality, personal data integrity and security of all employee related information.Maintain and analyse employee records such as attendance and leave register.Administer leave and all other routine day to day HR requirements for all employees.Maintain all necessary legal and HR related records for temporary / outsourced staff.Design and conduct new joiner induction program and to embed Company values and code of conduct.Prepare all documentation for visas and liaise with the PRO for visa applications / cancellations for all staff.Assist in communicating and explaining HR Policy and Procedures to all staff and ensure that it is consistently implemented and followed across the company.Ensure that the Company’s HR policy and procedures are read and understood and to strictly comply with the code of conduct and discipline matters specified within the document available with the HR.Responsible for carrying out any disciplinary procedures prescribed within the HR Policy and Procedure.Prepare, maintain and update all employment records related to hiring, transfer, promotion, non compliance with code of conduct or discipline, staff performance management, verbal and written warning, disciplinary action, and termination.Explain HR Policy and Procedure to all new and existing employees.Ensure that all the paperwork related to new joiner hiring process and prepared, processed and stored.Manage the recruitment process for all the positions from the hiring request to the candidate offer.Ensure a good understanding of the recruitment needs in terms of required technical skills, competencies, background and available budget for the role.Source candidates following the established sourcing strategy (Recruitment database, job boards, professional networks, etc.) and implement innovative recruitment solutions to fill all urgent openings.Pre-screen the candidates against the requirements before sending the shortlisted names to the line manager for their review and interview.Arrange interviews for the shortlisted candidates with their line manager and aim to attend all interviews representing HR presence to take notes and conduct an independent assessment of the candidate and the interviewer.Discuss the approved offer with the candidate and address all their queries.Assist on boarding of the selected candidate once the offer letter is signed by the candidate.Provide regular update to the line manager on the recruitment process progress and highlight any challenges.Ensure that regular and quality communication is held with any candidate applying for a role at the Company, shortlisted for interview, selected or rejected. This will help maintain a good reputation for the Company in the market and enhance the brand value.Ensure all necessary Job Descriptions are collated and discussed with the concerned line manager to determine the qualifications and skills required.Manage relationships with external parties such as the recruitment agencies and external sourcing channels.Check and evaluate all final offers to ensure compliance with all policies and procedures.Inform job applicants of job duties, responsibilities, benefits, schedules, working conditions, promotion opportunities, etc.Address any employment relations issues, such as work complaints and harassment allegations.Process all personnel action forms and ensure requisite approval is obtained as per Company policy.Conduct hiring including coordinating job posts, reviewing resumes, and performing reference checks.Apply for employee health insurance immediately after the employment visa is stamped for new joiner.Process staff payroll at each month and maintain payroll processing system and records by gathering, calculating, and inputting data into the database.Compute employee take home pay based on time records, Overtime, benefits, and any applicable taxes.Clarify staff questions about wages, deductions, attendance, and time records.Receive and coordinate requests for leave and other absences.Handle changes in exemptions, job status, and job titles.Identify, investigate, and resolve discrepancies in timesheet and payroll records.Complete payroll reports for record keeping purposes or managerial review.Manage successful implementation of new HR Software.Engage with staff to boost employee morale leading to efficiency of work.Job Types: Full-time, PermanentSalary: AED8,000.00 /monthExperience:HR: 7 years (Required)Location:Jebel Ali Freezone (Preferred)

The role Community manager Responsible for managing residential owners associations in Dubai -. Community manager will directly report to the ‘Director of Association Management’. Your responsibilities will include: General Directing responsibility for the delivery of owner association or community management services. Ensuring all FM services delivered as per contract, PPM and statutory requirements. Ensuring all documents maintained one site as per filing system and record management. Ensuring operations team handling of cash, cheques and other funds in secure manner on sites. Enforcement of community rules by operations team and FM provider or security staff. Ensuring published notices are free of mistakes and relevant for requirement and duration. Ensuring community offices are kept well organised and welcoming to customers. Ensuring community administrators understand how to assist customers and deal with difficult customers. Reviewing any communication assistance required by managers and/or admins. Handling operational health and safety and environment management. Overseeing implementation of energy conservation projects. Overseeing building insurance coverage policy and claim reimbursements. Financial Providing strategic short term and long term budgeting advice as per community requirements or client direction. Preparing service charge budgeting. Overseeing accounts receivables functions by community administrators. Ensuring service charge collection strategies are adopted. Managing of top service charge defaulters. Overseeing accounts payables for utility and supplier invoices as per agreed processes and authority matrices by operations and finance teams. The requirements Your knowledge, experience and skills need to include: Minimum 3 years’ experience in the industry is essential. Experience of managing and motivating staff is desirable. With engineering or facility management background is an advantage. Good understanding of Law no. 27 of 2007. Good understanding of Mollak requirements. Excellent organisational and communication skills. Good communicator, team player, flexible, and positive “can-do” attitude. Ability to accept change, work flexibly and work under pressure is an advantage. Good numeracy skills and experience of managing budgets. Negotiation skills and commercial acumen is desired. Fluency in written, spoken English and Arabic is desirable. Excellent skills in MS Office, Excel and PowerPoint is essential. Good with Urbanise Strataware software. With driver’s license. Qualification A bachelor’s degree qualification on the field is necessary. A certified in community association institute is an advantage.
