Dubai -The Role Redpath Partners have an outstanding opportunity for an experienced Office Manager to join their Dubai - office. The Redpath Partners Dubai - office opened in 2015 and has seen successful year on year growth since its inception. Specialising in technical recruitment within the property & construction industries, the ethos and culture of the business stems from the owners and is richly incorporated throughout the international office network. As such, whilst technical skill sets are important, trustworthy, honest and team player characteristics are essential for this role in what is a close-knit team environment, in a highly motivated, ambitious environment. The reason for the vacancy is that the current Office Manager is relocating to one of our other international offices who has been with the business for three years, and so provides an exciting opportunity for someone to join the business as it moves into its next growth phase. Key responsibilities are to ensure all office management and administrative processes are implemented and maintained and providing support to Redpath Partners recruitment consultants. Duties, amongst others, will include: - Responsible for organising and coordinating office operations and procedures to ensure the effective and efficient running of a successful recruitment company. - Input candidate resumes and information with accuracy to the companies database. - Format resumes complying with the companies policies and procedures, meeting required deadlines. - Provide administration and managerial support to the Managing Directors such as travel, expense claims. - To assist with ad hoc HR Projects such as the renewal of medical insurance. - Liaising with Building Management to ensure office standards are maintained and any facilities issues are resolved as quickly as possible. - Responsible for company social media, i.e updating company Instagram accounts. - Have an understanding of the MENA region and able to follow processes, manage new visa applications, visa renewals, and company trade licenses. - Responsible for preparing invoices, updating commission registers and sending reminders to consultants. - Prepare and approve staff rosters and leave requests and registers. - Ensure all staff follow the correct annual leave process and authorised leave is accurately logged. - Reporting all absences in the office on a daily basis, ensure all sickness is accurately logged. - Reporting on absence records as and when required. - Understanding the company and the target market to attract new clients and candidates. - Perform other related administrative and ad-hoc duties as instructed. - Use a wide range of office software, including MS Word, Outlook, Exel, Xero, and Salesforce databases. - Maintaining database and files. - Onboard new staff members, arrange building pass and complete office orientation. - Meeting and greeting visitors to the office. - Responsible for all incoming and outgoing post on a daily basis including courier services. - Collection and banking of cheques. Liaising with Credit Control regarding cheques received from Clients and hand delivering invoices when needed. - Organising company events e.g. Christmas lunches, End of Quarter Celebrations, Eng of Year, Networking Events. - Maintain accurate records of all supplier contracts and negotiate for the best price and best service. - Pro-actively ensure suppliers are delivering a high-quality service. Dealing with any issues when this is not the case. - Checking and obtaining approvals for supplier invoices and ensuring that these are passed to accounts for payment. - Maintain the condition of the office and arrange for necessary repairs. - Arranging meeting room bookings and update trackers accordingly.
