She will be the “face” of the company for all visitors and will be responsible for the first impression they make. This includes the first point of contact direction, time management, correspondence disposition, and resolution.ResponsibilitiesPA to the Board· Provided secretarial, administration support to the Management on a daily basis by attending the routine administrative paperwork and ensuring the smooth flow of documents;· Coordinate office management activities.· Arrange conferences, meetings, and travel reservations for the Management official and personal trips; Booking flight tickets, drivers and hotel reservations manual and/or online and obtain all the necessary confirmations for the bookings.· Managing calendar; Setting up meetings, organizing and maintaining diaries with internal departments, external visitors and with senior officers at the different Governmental Authorities within UAE. Preparing the necessary legal documents required for these meetings. Taking minutes of meetings and following up on the discussed matters if necessary.· Filtering the Management outlook/emails, briefing them, responding on their behalf and forwarding some of these emails to the internal departments for their actions.
