Dubai -Office Manager - 1901108 Function In a nutshell: responsible for the main office landline responsible for a well maintained offices coordination with various departments in BARCO NV, Belgium as needed specific to Michael Banton (MBA)/his replacement for all Dubai - office financial transactions travel / accommodation arrangements (local and foreign) logistics coordination as needed service intervention coordination as needed sales team assistance as needed General Office: coordinates / liaise with a 3rd party PRO (One Stop Business Centre) services agent who assists us in visa applications and license related matters office/IT supplies contact point for any issues related with building management fit-out office works coordination as needed liaise with landlords for office lease renewals liaise with insurance companies (for employees and office) liaise with service/utility providers Assistant to General Manager: travel manages calendar set-up meetings as needed business letters as needed other countries’ visa applications insurance renewals family visa renewal Government Relations: liaise between the company and Government offices as needed Finance / Bank: contact point for any bank related issues all employee related payments (salary, expenses, allowances, commissions, etc.) - payments: service providers - travel agency, phone companies, courier service, etc. checks expense reports for the team before submission to finance assists employees for company credit card applications Travel and Accommodation: book flights / hotels for the local team and colleagues or visitors as needed prepare invitation letters for the team and for customers as needed assists team on various visa applications (Saudi, Schengen, etc.) Human Resources: keeps track of team attendance / leave days employment (preparation of offer letters and contracts) updates HR BE for new hires / terminations contact point for any employee related issues (makes sure everyone’s employment visa is up to date) order of supplies (laptop / sim / phone / desk accessories) for new hire Logistics: (now as back-up for MOHKN) contact point for project, demo or return shipments assists the team for all shipment requirement assists Khalid (MOHKN) on some shipment if he’s overloaded Sales: forwards phone/email/fax inquiries to respective division managers assists on tender preparations / drafts business partner letters assists in setting up meetings within and outside the team Demo / event: assists in demo / training as required coordinate with catering company / restaurant bookings Job Administrative/Clerical Primary Location EMEA-UAE-Dubai - Recruiter Ellen Roegis
