Dubai -To provide first class executive support executive support to the AXA Gulf CEO in an efficient, confidential and discreet manner. To execute all tasks and activities relating to the efficient operation of the CEO’s office exercising confidentiality, tact and diplomacy. Key Responsibilities: Manage the CEO’s diary ensuring that all appointments are scheduled in accordance with priorities of the business. Ensure that changes to the CEO schedule are followed through with appointments being re-scheduled as required, proactively contacting people to re-schedule in a professional manner. - Provide secretarial support to the CEO ensuring that all incoming mail, phone calls and emails are reviewed for importance bringing to the attention of the CEO those matters requiring his attention whilst diverting queries and issues not requiring the CEO’s involvement or attention to others best placed to respond. As and when required take notes so as to prepare correspondence and other documents including presentations etc. in readiness for CEO signature and dispatch as required. Maintain all CEO files in a manner that allows documents to be accessed and retrieved in a timely and efficient manner whilst at all times ensuring the absolute confidentiality of data - Manage the CEO’s travel arrangements ensuring that all flights, hotels and transport arrangements are booked, checked and run smoothly. - Attend key meetings with the CEO to take notes or minutes, and where appropriate draft minutes following meetings for approval and circulation. - From time to time undertakes, supports or advises on project work for the organization. - The job holder has to work quickly and at times at short notice to organize and re-schedule events.
