Dubai -1. Telephone System. Operate Alert’s switchboard from 8.00 am – 5 pm; receiving and transferring telephone calls, taking brief messages and passing these on via the email Review and update on a regular basis the staff contact and telephone extension lists. 2. Reception. Greet and welcome visitors to the Offices ensuring they sign in the visitor’s book and informing the relevant member of staff of their arrival, offer them tea/coffee.Keep a record of staff and visitors signing in and out of the officeCheck and sign for deliveries, before informing the relevant member of staff of their arrival. Deliveries by post or courier will include valuable items.Maintain Driver Roaster, Out Duty Register, Attendance Register, Visitor Register etc 3. Office Services. Provide office supplies (Stationery & kitchen supplies) for staff and maintain adequate stocks; task includes ordering new supplies, identifying new suppliers and obtaining the best price for Alert. Maintain the stationery register, courier, water supplies.Book Air Ticket for business use thru diff websites or travel agents, look after travel insurance, hotel accommodation stay etc 4. Stores & Purchase Assistance Keep track of Inventory, make the document “GRN” when new material comes, do QAQC check, put it in designated place and update inventory list. Assistance to procurement function in expediting deliveries.
