This includes maintaining office services and efficiency, supervising office staff, managing HR related duties and maintaining office records.Office Manager Duties: Maintain office services by organizing office operations and procedures; controlling correspondence; filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.Manage and oversee recruitment by search and selection from start to finish. Staffing can also include provide staff with increases or disciplinary action may be required.Managing and reporting Time Attendance of the staff, sickness and holidayManage and maintain expiry dates on various documents, Trade Licenses, Passports, Visa, Insurances etc.Oversee all IT responsibilities with the outsource IT Company, emails, website, internet, printers and mobilesManage personal files of employees; personal details and information for the CEO and family, this could be related to business or personal.Work closely with the PA of the CEO to ensure the smooth operation of the CEO’s business and personal life.Involved with the process of payroll, gratuity, annual flights.Maintain and update all policies such as Employment Contracts, Employee Handbook’s, Health & Safety policy and job descriptions.Knowledge of the UAE Labour Law is an advantage.You will handle information of an extremely confidential nature and must ensure the strictest of confidence.Maintain positive working relationships with executive and senior management and employees at all levels.As an Office Manager, nothing is not your job. The Regulatory Affairs Senior Manager is a key risk management role that has a broad remit and responsibilities, in this role, you will: Deliver proactive and more consistent management and oversight of regulatory relationships regionally and in MENAT countries. Regulatory Development : identification and oversight of upcoming and in train material regulatory compliance developments, supporting the Region and MENAT countries to address regulatory change. Act as an SME in respect of the Regional Compliance supported regulatory engagement, ensuring that the Region maintains full oversight of all relevant engagement with UAE/DIFC/ADGM regulators. “Regulatory Engagement” for these purposes includes meetings, visits, reviews, thematic work, investigations, enforcement activities, reporting, information provision, correspondence and similar and whether of a regular, recurring or ad hoc nature. Support management of the relationship and engagement with the HBME Regulators (e.g. DFSA, ADGM, UAE Central Bank, UAE Insurance Authority and the UAE Securities and Commodities Authority) on all matters relevant to the Compliance Function. Ensure that the respective Regulators’ agendas and requirements are understood, communicated and met, with the intention of there being “no surprises” in the HBME’s engagement. Support relevant senior management in material engagement with the HBME’s Regulators; including preparation of Briefing Notes and attendance at meetings as and when required. Support engagement on Compliance related matters with Regulators, working with relevant RC colleagues, Global Businesses, Global Functions and HOST, as required. Monitor regulatory engagement trends for regulators and provide updates, reporting and guidance as appropriate / required. Provide guidance to MENAT Countries regarding regulatory engagement trends / developments which may affect them, as required. Supports HSBC strategy in line with designated responsibilities Support delivery of the Regulatory Affairs sub-function’s activities and seeks to ensure that all parts of the sub-function Qualifications To be successful in the role, you should meet the following requirements: An undergraduate or post-graduate degree in Business Administration, Finance or a related field, or a legal, accounting or Corporate Secretary professional qualification. Significant experience of working with a wide range of stakeholders, including senior management and senior external contacts. Significant project, operational and people management experience. Continuous improvement and change management experience. Clear written and oral English (Arabic is an advantage) Outstanding leadership skills. Ability to manage people effectively. Excellent interpersonal skills: ability to project authority, negotiate effectively and influence others. Excellent time and project management skills, including the ability to handle multiple outputs simultaneously. Ability to work in a fast-moving, high-pressure environment. Strong analytical skills.
