Dubai -Executive Secretary Job DescriptionWe are seeking a highly motivated and organized candidate for Executive Secretary. The Executive Secretary provides support to the C levels & members of the Administrative Team. Generally, the Executive Secretary serves as the primary point of contact for internal and external matters. The Executive Secretary also, serves as a liaison to the public and senior management team; organizes and coordinates executive outreach and external relations efforts; manages the secretarial functions of the organization and oversees special projects. The Executive Secretary must be creative and enjoy working within a large, fast paced environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Secretary will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.Responsibilities: Completes a broad variety of administrative tasks for the Administrative Team including:Managing an extremely active calendar of appointmentsCompleting expense reportsComposing and preparing correspondence that is sometimes confidentialArranging complex and detailed meetings, events, itineraries, and agendasCompiling documents for related meetings and eventsPlans, coordinates and ensures the Executive Director’s, Director of Administration, Associate Director of Development and other Administrative Team Members’Maintains contact information and various Administrative databasesManages administrative files and the organizational libraryResearches, prioritizes, and follows up on incoming issues and concerns addressed to the Administrative Team .Provides a bridge for smooth communication between the Team and the public; demonstrating leadership to maintain credibility, trust and support internally and externallyWorks closely and effectively with the Administrative Team to keep them well informed of upcoming commitments and responsibilities.Ensures that staff biographies are kept up to date and responds to requests for materials regarding the staff and the organization in generalWorks with the Associate Director of Development to complete drafts of written communications to the publicOther duties as assignedParticipates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending meetings and maintain minutes of meetingsAssists in coordinating the agenda of senior staff and all staff meetingsFacilitates coordination of travelAssists the Associate Director of Development with outreach plansRequirements:Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detailVery strong interpersonal skills and the ability to build relationships with stakeholders, including staff, commissioners, elected and municipal officials, partners and the publicExpert level written and verbal communication skillsAbility and desire to learn new software and social media platformsDemonstrated proactive approaches to problem-solving with strong decision-making capabilityEmotional maturityHighly resourceful team-player, with the ability to also be extremely effectiveindependentlyProven ability to handle confidential information with discretion, be adaptable tovarious competing demands, and demonstrate the highest level of customer/clientservice and responseDemonstrated ability to achieve high performance goals and meet deadlines in afast paced environmentExcellent MS Office Skills.Excellent Planning Skills & Time Management SkillsMinimum Qualifications: Bachelor’s degree in relevant field.Minimum Experience: 3 years+.Employment DescriptionLocationDubai -, UAESchedule Full TimeJob Level SeniorJob Type: Full-time
