About the role: An opportunity has arisen for an Administrator to join Front Office department in Jumeirah Emirates Towers. The main duties and responsibilities of this role: To handle group bookings and ensures accurate details are being input into the PMS. Providing assistance for the guest with regards to visa while doing group reservation. To update groups rooming list, guest flight details, special requests in the PMS and communicate with all concerned accordingly. To maintain a copy of all groups corresponds as easy reference. To carry out follow ups for any pending rooms on the block and report any release/cancellation to the Revenue /Assistant Manager Reservations. To coordinate with Sales Group and Guest Service for upcoming groups / conference / conventions To follow up on the rooming list for Definite Groups for the current month To carry out importing groups from Delphi to the PMS on a daily basis To update all signed contracts for the groups into the PMS. To ensure that the block grids are always balanced and cross check the same with the group contract. To advise the Rooms Division Manager of any TOP VIP reservations in the next 7 days Ensures that all activities adhere to and support the Jumeirah Quality Management System Maintains a proper filing and trace system for the department and handles all incoming telephone To prepare pro-forma invoices as and when requested by the Reservations Sales Agent and forward the same for approval to Event Manager / Accounts manager About you: The ideal candidate for this position will have the following experience and qualifications: You must have at least 1 year experience in a 5 * or 4*hotel with preferable knowledge of Front Office / Room Reservations. As a member of the Global Customer Solutions and Services, you will be chartered to optimize our customers' consumption and integration of Avid technologies in their organization where profitable Avid Effectiveness and Customer satisfaction are our key drivers. This role is responsible for the service delivery experience of major EMEA enterprise accounts, and to assume overall responsibility for the delivery, management, continuous improvement, and growth of Avid Services. This will include matrix management of employees and vendors to ensure all functions are delivered to meet/exceed customer expectations. This position will develop customized service and support initiatives in line with customer strategic direction and oversee related delivery, support, and communications among executive and technical stakeholders. Our goal is to ensure continuous effectiveness and optimization of the customer’s partnership with Avid. This role will require significant onsite presence at Avid customer locations spread globally.
