Dubai -Executive Assistant (UAE National) Salary: Negotiable Location: Dubai - Ref: RG313 Our client, a commercially driven semi-government entity is looking for a UAE National Executive Assistant of the HR Department to be responsible for all clerical and support functions within the team Role: Maintain an accurate and up to date record of HR employee attendance on a daily basis, including monitoring attendance at external meetings during working hours. Provide this record to the Head of Human Resources on a regular basis.Scan leaver service records and save to livelink and insert the link in Oracle. Service Records include but are not limited to the following documents; employment contracts, promotion letters, Curricula Vitae, service letters, end of service settlement sheets.Monitor and reorder stationary supplies to ensure items are in continuous supplyUpdate the HR Intranet pages and relevant links as required. Update the company organisation chart in a timely manner, including new joiner’s, leavers and organisational changes on the relevant effective dateManage leaver exit formalities adhering to company policy at all times. Including but not limited to; sending personnel contract closure emails, collecting company property from employees and consulting them in a professional manner regarding general Immigration related processes. Engage with the Compensation and Benefits team regarding final settlement paymentsEnter all data relating to new joiners and relevant dependents in Oracle. Including but not limited to; Addresses, Phone Numbers, Home of Record Information, Next of Kin details, Beneficiary details and Dependent information. Ensure this is completed on the same day the employee joins. Where mandatory information has not been provided, follow up to ensure all records are completeProcess HR invoices in Oracle by creating Purchase and Release Orders and completing Good ReceiptsProcess medical insurance enrollment, addition and deletion of employees and their eligible dependentsManage the Cardex filing system, including setting up new hanging folders for employee files and transferring leaver files to archive areaManage the hardcopy document archiving process in coordination with the Document Record Management (DRM) teamProcess documents for bank account opening for new employees.
