The Job holders report to a Head of Unit, Chief or Administration Officer. JOB PURPOSE To coordinate the delivery of quality, client-focused, value-for-money oriented administration services. Position Title: Senior Administration Associate (Fleet Centre) Service Contract for duration of 12 months with possibility of extension. Level: SC 7 Salary starts from AED 22,424.31 per month (inclusive of pension), plus insurance and other benefits. Under the overall guidance of the Fleet Centre (FC) Programme Manager and the direct supervision of the FC Finance Officer, based in Dubai --UAE, the incumbent shall have the following duties and responsibilities: KEY ACCOUNTABILITIES (not all-inclusive) Operations: Ensure effective planning and management of FleetCentre operations including vehicle restocking and procurement planning Analyze technical requirements for vehicles taking into account availability, cost effectiveness and customer needs and propose a re-stock plan to FC Management, including any changes to standard and stock models Evaluate different purchasing channels for customer orders (local, regional and factory) and propose the most efficient and effective channel to FC Management Manage Fleet Centre orders for Soft skin and Armoured vehicles liaising with suppliers and the procurement unit and ensuring FC timeliness and technical requirements are met on all FC procurement Perform technical evaluation of soft skin vehicles Work in collaboration with Fleet Specialists to ensure their recommendations to Country Offices are reflected in CO orders and to deliver aligned and coherent services to customers Administration Perform research, collect data and conduct analysis to produce comprehensive reports in area of expertise Responsible for Fleet Centre asset management and accounting systems (WINGS/GEMS/Fleet Management System etc.) in accordance with WFP asset management procedures Local Process Expert for WINGS, Fleet Management System and GEMS, guide, conduct trainings and support other users resolve issues Administrator for Fleet Management System (FMS) Liaise with FMS Support team and software developers for development & resolving issues in Global fleet system (FleetWave) Provide support to FleetCentre New portal development team to manage FC orders etc. Liaise with manufacturers to resolve warranty issues including the soft skin and Armoured vehicles Responsible for FleetCentre Lease Contract and Invoice Management Respond to queries from variety of sources by providing available information. Provide advice and guidance on rules and regulations related to area of work or direct to the most appropriate source to junior staff and customers. Responsible for the preparation and updates of Standard Operating Procedures in area of work. Contribute to review of WFP Fleet Management standards and procedures, to support efficiency and changing business needs and ensure that WFP and FleetCentre standard systems are properly maintained Create MPOs in WINGS. Draft correspondence relating to the area of responsibility STANDARD MINIMUM QUALIFICATIONS Education: Completion of secondary school education. A post-secondary certificate in the related functional area. Bachelors degree will be an advantage. Language: Fluency in both oral and written communication in English.
